This policy explains how Oh My HQ Ltd. ("Oh My HQ", "we", "us") collects, uses and protects personal information on ohmyhq.com and across the “Oh My” family — Oh My Ledger, Oh My Payroll, Oh My Registry, Oh My Practice, Oh My Inventory, Oh My Expenses and Oh My Insurance. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA).
1. What we collect
This website. ohmyhq.com is a static informational site — it has no accounts, no analytics and no tracking cookies. The online registration and launch waitlist are not open yet. The waitlist page shows “Opening soon” and does not accept or save registrations. There is no product-account registration on this website. If you contact us by email or phone, we receive the contact details and message contents you choose to send and use them to respond to your inquiry.
Website delivery. Firebase Hosting and Google Fonts receive connection information, such as your IP address and browser details, needed to serve the website and its fonts. If the waitlist is separately opened and you submit its form, Google Cloud’s standard request logs record your IP address, browser details and the referring page; these logs are kept for about 30 days. To limit abuse, we keep daily salted quota keys derived from a verified security token (or a verified gateway address). These are pseudonymous counters, not identity verification; raw tokens and IP addresses are not stored with your request. If security verification is enabled, Google reCAPTCHA Enterprise processes browser/device signals to prevent abuse, potentially outside Canada. See Google's Privacy Policy and Terms of Service.
Launch waitlist and investment requests (not open yet). When separately opened, the waitlist will collect your name, email, your firm or company name if you give one, selected products and permission to contact you about launch access. If you separately opt in, we also record your interest in investing in Oh My HQ and your permission to email you about investment opportunities. You may request investment contact alone, without selecting products or agreeing to product launch emails. Requests and consent records, including server timestamps and the consent version, are to be stored in Google Cloud (Cloud Firestore) in Montréal, Canada, for Oh My HQ and cannot be read through this website. When sending is enabled, emails about the waitlist will come from Oh My HQ Ltd., c/o Finvo Partners Limited, Unit 3, 1004 Parsons Rd SW, Edmonton, AB T6X 0J4. A request is pending until you explicitly confirm the email link and the exact consent shown with it. Confirmation expires after 7 days; an accepted replacement email supersedes the earlier confirmation link. We record the consent wording and version, page, time, and keyed hashes of the available IP and browser user agent, never raw IP or user-agent values in consent records. IP evidence is unavailable unless an authenticated gateway verifies the visitor address; a Google proxy address is never treated as your IP. We use the confirmed selections only for the requested launch or investment contact, not unrelated marketing. An anonymous repeat request cannot change confirmed choices or undo a withdrawal. Every email has a one-click unsubscribe option that withdraws all waitlist and investment email permission without a login. Unconfirmed records and their descendants are eligible for deletion one day after the 7-day confirmation window ends, once the founder approves and enables scheduled cleanup. Submission does not create a product account, require payment or guarantee an access date. The email delivery provider is a founder decision. Intake stays closed until sending and cleanup are configured. Delivery happens separately from submission; a receipt does not say whether an address is on the list or whether an email was delivered. Unsubscribe links use random identifiers and remain usable for at least 60 days after sending. Minimal capability records are retained for 61 days independently of deleted pending requests. Withdrawing an unconfirmed request erases its contact details and leaves only minimal suppression and short-lived abuse-control records. This form does not re-enrol an unsubscribed address; contact us about a fresh opt-in. An email inquiry is not a waitlist registration or permission for unrelated marketing. The products. When you use one of the Oh My products, we collect what's needed to run it — account and firm details, user profiles, and the business data you enter (books, payroll records, corporate records, receipts). Each product may publish its own product-specific privacy terms.
2. How we use it
- To provide, operate and improve the products.
- To respond to inquiries and provide support.
- To meet legal, tax and regulatory obligations.
We do not sell personal information.
3. Where your data lives
Our products are designed for Canadian hosting. Product hosting and third-party processing arrangements depend on the product and service; review the applicable product terms before providing business or personal information. Canadian product-hosting plans do not mean that website delivery, fonts or all third-party processing take place exclusively in Canada.
4. AI processing
AI providers vary by product and enabled feature. Registry uses Google Vertex AI (Gemini) in Montréal; Practice uses Google Gemini; Ledger uses Google Gemini and Anthropic (Claude); Inventory uses OpenAI. Payroll currently has no AI processing. Data is sent to the applicable provider only as needed for a feature you invoke, under that provider’s data-processing terms. Review the product’s own privacy information before using an AI feature.
5. Who we share it with
- Service providers that run the products — cloud hosting, email delivery, and the AI providers named above — bound by contractual obligations.
- Law enforcement or regulators where the law requires it.
- A successor entity if the business is ever sold or reorganized, subject to this policy.
6. Retention
Confirmed waitlist contact details and full submission records are deleted after 12 months without a new eligible submission, or within 30 days after the waitlist purpose ends, whichever is earlier. Verified deletion requests are completed within 30 days. Pending records expire sooner under the confirmation policy above. Minimal suppression and unsubscribe capability records follow the separate periods above.
We keep personal information only as long as needed for the purposes it was collected for, or as required by law. When it is no longer needed it is deleted or de-identified.
7. Security
We use reasonable administrative, technical and physical safeguards to protect personal information against loss, theft and unauthorized access. No method of transmission or storage is completely secure; if a breach creates a real risk of significant harm, we will notify you and the Privacy Commissioner as required by law.
8. Your rights
You may request access to your personal information, ask for corrections, or withdraw consent to its use (subject to legal and contractual limits). Contact our privacy officer at info@ohmyhq.com. You also have the right to complain to the Office of the Privacy Commissioner of Canada.
9. Changes
We may update this policy from time to time. The current version is always posted on this page, with the date above.
