This policy explains how Oh My HQ Ltd. ("Oh My HQ", "we", "us") collects, uses and protects personal information on ohmyhq.com and across the “Oh My” family — Oh My Ledger, Oh My Payroll, Oh My Registry, Oh My Expenses and Oh My Insurance. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA).
1. What we collect
This website. ohmyhq.com is a static informational site — it has no accounts, no analytics and no tracking cookies. The contact form asks only for your name, email, who you're reaching out as, the products you're interested in, and your message; it is delivered to our mailbox by a script running on our own Google account, and the same applies if you contact us by email or phone — we receive the contact details and message contents you choose to send.
The products. When you use one of the Oh My products, we collect what's needed to run it — account and firm details, user profiles, and the business data you enter (books, payroll records, corporate records, receipts). Each product may publish its own product-specific privacy terms.
2. How we use it
- To provide, operate and improve the products.
- To respond to inquiries and provide support.
- To meet legal, tax and regulatory obligations.
We do not sell personal information.
3. Where your data lives
Our software and the data you store in it are hosted in Canada. Canadian data residency applies to all Oh My products for all customers.
4. AI processing
Some features use third-party artificial-intelligence models — Google (Gemini), Anthropic (Claude) and OpenAI — for tasks such as document parsing, data extraction and categorization. Which provider processes a given request depends on the task. Data is sent to these providers only as needed to deliver the feature you invoked, and is handled under each provider's data-processing terms.
5. Who we share it with
- Service providers that run the products — cloud hosting, email delivery, and the AI providers named above — bound by contractual obligations.
- Law enforcement or regulators where the law requires it.
- A successor entity if the business is ever sold or reorganized, subject to this policy.
6. Retention
We keep personal information only as long as needed for the purposes it was collected for, or as required by law. When it is no longer needed it is deleted or de-identified.
7. Security
We use reasonable administrative, technical and physical safeguards to protect personal information against loss, theft and unauthorized access. No method of transmission or storage is completely secure; if a breach creates a real risk of significant harm, we will notify you and the Privacy Commissioner as required by law.
8. Your rights
You may request access to your personal information, ask for corrections, or withdraw consent to its use (subject to legal and contractual limits). Contact our privacy officer at info@ohmyhq.com. You also have the right to complain to the Office of the Privacy Commissioner of Canada.
9. Changes
We may update this policy from time to time. The current version is always posted on this page, with the date above.
